In short: These terms apply to you as an individual when you have an account in FlowDule. They concern your account, your access and your use. The agreement for the service itself is entered into by the company you work for or own, and is set out in the terms of service and the Data Processing Agreement.
1. Who the terms apply to
The terms apply to any natural person who is given an account in FlowDule as an employee, owner or authorised person of a company, whether the account is created by the person themselves, by invitation from the company or by FlowDule as part of support. They apply alongside the agreement that the company has with FlowDule, and they do not give you rights or obligations on the company’s behalf. A client or patient who only has access to a company’s customer portal is not covered by these terms; there, the company’s own terms and privacy information apply.
Your account may be linked to several companies. The terms apply to your use in each of them.
2. Your account is personal

The account belongs to you as an individual and must not be shared. Login credentials, passwords and one-time codes must not be passed on to others, not even to colleagues.

You must keep your contact details up to date so that FlowDule and the company can reach you about security, changes and your rights.

Where the company or FlowDule has enabled two-step verification or other security requirements, you must follow them.

If you suspect that others have access to your account, you must change your password immediately and notify the company’s administrator or support@flowdule.com.
3. What you may and may not do
You may use FlowDule for the tasks the company has given you access to, and only within the privileges that your role provides.
You may not:

access, copy or disclose information about clients, colleagues or the company without a business need;

circumvent access control, logging, security measures or technical restrictions;

use the service unlawfully, infringe the rights of others or submit harmful content;

attempt to access other companies’ data or FlowDule’s internal systems;

transfer, lease or sell your access.
Lookups in journals and other sensitive information are recorded. The company can see who has seen what, and the data subject can be told.
4. Your responsibility for what you record
What you write, upload and approve in FlowDule forms part of the company’s documentation. You are responsible for it being correct and necessary, and for following the company’s instructions and the professional rules that apply to your work.
If you use an AI feature, the output is a draft. You must check the source, the identity, facts, figures, dates and professional context yourself and actively approve the output before it is stored, shared or used. AI may not be used for independent diagnosis, triage or treatment decisions.
5. Roles and responsibility for the data
The company is the data controller for the client, booking and journal data you work with, and for the data it has recorded about you as an employee or partner. FlowDule processes this data on the company’s behalf under the Data Processing Agreement.
FlowDule is itself the data controller for your account, your login credentials, security logging and support enquiries to FlowDule. How we process them, and what rights you have, is set out in the privacy policy.
6. When your access ends
The company’s administrator may close your access to the company at any time. If you leave the company, you may no longer use the access, and you may not take copies of the company’s or the clients’ information with you.
Your account may continue to exist if you have access to other companies. If you do not, you can ask for the account to be deleted via privacy@flowdule.com. Information that the company is obliged to retain, including record-keeping and the logging of lookups, is not deleted at your request.
7. Changes to the terms
FlowDule may change these terms. Material changes are notified at least 30 days before they take effect, in the platform and by e-mail to the address linked to your account. If you continue to use FlowDule after the effective date, the new terms apply to your use. Your access is not blocked because you have not confirmed a new version. Minor changes that do not affect your rights or obligations may be made without notice.
8. Other matters
The terms are governed by Danish law. Questions about your account are sent to support@flowdule.com; questions about your personal data to privacy@flowdule.com. The Danish version is the governing version.
