FlowDule for clinics and chains

One system for clinics with several locations.

Booking, journal, payments and reports in one place for all locations. Local responsibility and shared management in the same platform, without everyone seeing everything.

This is what your everyday looks like in FlowDule.

For the clinic that has grown from one practitioner to a team, and for the chain where several locations share clients, staff and capacity. Management, access and responsibility are not an extra layer.

  • Local responsibility, shared overview

Each location works from its own resources, opening hours and employees. Calendars, bookings and capacity can be seen across locations.

  • Services are set up in one place

Services and rules are set centrally. Each location manages its own variants, prices and durations, and each practitioner manages their own availability.

  • Roles, so not everyone sees everything

Reception sees bookings. Practitioners see journals. Management sees all of it. Each role gets the overview it needs, which makes operations and compliance easier to manage.

  • Reports without spreadsheets

Turnover, bookings and capacity are gathered across practitioners and locations. Reports can be broken down per location, employee, service and product, so decisions do not depend on manual extracts.

  • The same professional standard everywhere

Shared journal templates keep documentation consistent across practitioners, teams and locations. Handover between colleagues follows the roles' access.

  • Working hours, rooms and blocked time in the same place

Working hours, bookings, resources and blocked time sit in the same platform, so the locations can be coordinated without local workarounds on the side.

The same platform. Each role sees its own.

Management, reception and practitioners work in the same system, each with their own overview. Choose a role and see what it has in front of it. The illustration is stylised.

  1. 01All locations

Sees figures and capacity across locations. Turnover, bookings and capacity are gathered for all locations and can be broken down per location, employee, service and product.

  2. 02The day

Sees the day's overview with bookings, cancellations and new appointments. Confirmations, reminders, invoices and online payment run automatically, so there is less manual work.

  3. 03Own clients

Sees their own clients and their own calendar. Manages their own availability and writes journals in the chain's shared templates.

Access to journals is controlled per role. Read about roles and access in the Trust Center.

A day across the locations.

From opening to report. The illustration changes with each step.

  1. 01Before opening

Each location opens on its own terms

Each location has its own opening hours, employees and resources. Working hours and blocked time sit in the same platform as the bookings.

  2. 02Before opening

The services are the same everywhere

The services are defined once. Each location manages its own variants, prices and durations, and what can be booked or sold.

  3. 03During the day

    The client books by themselves

The booking flow is the same at all locations. The client chooses an available time online and gets confirmation straight away.

  4. 04During the day

    Reception has the day

Reception sees the day's bookings. Reminders, confirmations, invoices and online payment run automatically, so the front desk can look after the people standing in front of it.

  5. 05During the day

The journal follows the chain's template

The practitioner writes in the shared templates, so documentation has the same structure at all locations. Handover to a colleague follows the roles' access.

  6. 06Afterwards

    Management sees the whole picture

The reports gather turnover, bookings and capacity across locations and can be broken down per location, employee, service and product. No local spreadsheets.

  7. 07Next step

A new location, the same standard

A new location works with the same services, templates and roles as the others. You grow with more practitioners and locations without changing systems.

Access and responsibility across locations.

Here is the practical side. The Trust Center brings together the descriptions of security, access, logging and responsibility.

Read about security in the Trust Center
Roles
Access to journals is controlled per role. Reception, practitioners and management do not need the same access.
Access log
Views, searches, downloads and refused look-ups in journals are logged, and administrators can read the log in FlowDule.
Encryption
Sensitive journal fields are encrypted with AES-256 and keys that are separate for each business. Data is encrypted at rest and in transit.
Separation
Each business's data is kept apart from others'.
Two-factor login
The users at all your locations can switch on two-factor login.
Full export
A full export can only be ordered by an administrator, and the order is logged.
